For the purposes of this Privacy Policy the words “SubjectCoach”, “we”, “our” and “us” refer to SubjectCoach (ABN 99 134 729 114), and “Site” to materials delivered on the website located at the domain name www.SubjectCoach.com and all its sub-domains. This Privacy Policy should be read carefully by users of the Site (“you”) prior to accessing or using the information and services available through the Site.
Our privacy commitments
SubjectCoach takes your privacy seriously. We make the following firm commitments to every person who uses our Site:
- Your data stays in Australia. All personal information that we collect and store is held on secure servers located in Australia. We do not store your personal information overseas and we do not transfer it outside Australia.
- We never sell your data. We do not sell, rent, trade or licence your personal information to anyone, for any purpose, ever.
- We never share your data for others’ purposes. We do not share your personal information with third parties for their own use, for advertising, or for marketing. We only ever disclose personal information where you have specifically asked us to, or where we are strictly required to do so by Australian law.
- We collect only what we need. We collect personal information only where it is necessary to provide the functions and services you have requested.
We strictly adhere to the Australian Privacy Principles contained in the Privacy Act 1988 (Cth) (“Australian Privacy Principles”). You are able to gain access to the personal information that we hold about you at any time.
This Privacy Policy outlines our practices relating to the collection, use, disclosure and storage of your personal information. Personal information is information that makes the identity of an individual apparent. Personal information may include your name, postal address, email, telephone number or anything else necessary to provide the functions and services requested. Unless you give us explicit consent otherwise, we will act in accordance with this Privacy Policy with regard to our collection and use of personal information.
What information we collect
We will only collect personal information that is necessary for us to provide you with the functions that we offer on our Site, and the services that you have requested.
We collect personal information from you in the following areas of the Site. All of these are optional uses of our Site:
- When you register with us and use the features available once you are registered.
- When you opt in to receive news, alerts, surveys and special offers from us.
- When you provide us with feedback or complete one of our user surveys.
SubjectCoach will collect personal information only by lawful and fair means and not in an unreasonably intrusive way.
When you access our Site via a browser or application, our servers automatically record certain information. These server logs may include information such as your web request, your interaction with a service, Internet Protocol address, browser type, browser language, the date and time of your request and one or more cookies that may uniquely identify your browser or your account. This information is stored on our servers in Australia.
Children’s and student accounts
SubjectCoach is designed to be used by families, schools and tutors. We do not create or manage accounts for children directly.
- A responsible adult creates the account. Student (child) accounts are created and managed by a parent, guardian, school or tutor. It is the responsible adult’s decision to set up an account for a child, and to obtain any consent required for that child to use the platform.
- We ask for the bare minimum. When a student account is created, we request only the minimum information needed for the student to use the service — for example, a first name or display name and a year level. We do not ask a child to provide unnecessary personal details, and a student does not need to give us their own contact details to learn on SubjectCoach.
- The adult stays in control. The parent, guardian, school or tutor who creates a student account is responsible for that account and the information entered into it, and can review, update or delete it at any time from their dashboard, or by contacting us.
We handle any information held in a student account in accordance with this Privacy Policy — including storing it on secure servers in Australia and never selling or sharing it for others’ purposes.
Where your information is stored
All personal information that SubjectCoach collects and stores is held on secure servers located in Australia. We do not store your personal information overseas, and we do not transfer your personal information to any country outside Australia.
The one exception is payment information: when you make a payment, your card details are entered into and handled directly by our PCI-compliant payment providers (such as Stripe or PayPal) to process that transaction. SubjectCoach does not store your full card number on our systems. We encourage you to review the privacy practices of those payment providers before making a payment.
How we use your information
On all pages of our Site which ask for personal information, we clearly outline the purpose for which the information is collected and how we will use your information. We will only use your personal information as required to provide the functions and services you request and will do so in a transparent manner.
By providing personal information to SubjectCoach on our Site, you authorise and consent to SubjectCoach collecting, using and storing personal information about you as described in this Privacy Policy.
We may also use the information you provide to generate market research for our own internal purposes only. When we do this, it is done in aggregate and on a purely anonymous basis with your personal information removed. We do not share this research, or the underlying personal information, with any third party.
How we use cookies
“Cookies” are pieces of information that our Site transfers to your computer’s hard disk for record-keeping purposes. Cookies do not personally identify you, only your computer browser. You can delete cookies from your computer at any time via your internet browser. However, doing so may limit your use of some of SubjectCoach’s features.
Cookies are industry standard and are used by most websites. We may use cookies to record session information and collect information on how you use our Site. By collecting this information we are able to offer you an enhanced experience using our Site, by customising the Site to your needs. We can also improve our services for all users by recognising how people use our Site.
We never sell your personal information
SubjectCoach does not, and will not, sell, rent, trade or licence your personal information to any third party under any circumstances. We do not make your personal information available to advertisers, data brokers, or any other organisation for their own purposes. Your personal information is not a product, and we will never treat it as one.
When we disclose your information
We do not share your personal information with third parties for their own purposes. We will only ever disclose your personal information in the following limited circumstances:
- With your direction or consent. Where you have expressly asked us to disclose information to a third party for the purpose of providing a further service you have requested.
- To essential service providers acting on our behalf. From time to time we engage trusted service providers (for example, a payment processor) solely to help us deliver a service you have requested. These providers may only handle your personal information on our instructions, strictly for that purpose. They are contractually bound and are not permitted to use your personal information for their own purposes or to disclose it to anyone else. Wherever we have a choice, we require that data handled on our behalf is stored in Australia.
- Where the law requires it. To comply with a binding requirement of Australian law, such as a court order, subpoena, or a lawful request from a law enforcement or regulatory agency; or where disclosure is reasonably necessary to enforce our Terms of Service, to investigate a suspected breach, or to protect the safety of SubjectCoach’s users, employees or the public, as required or permitted by law.
Outside of these limited circumstances, your personal information stays with SubjectCoach.
If you opt in to receive email communications from us, these will be sent to you directly by us. We will only send communications to people who have opted to receive them. You can unsubscribe from receiving these communications at any time.
How you access and control your information
We provide you with easy access to the personal information we hold about you. Once you register, you can easily access and change your personal information on the SubjectCoach Dashboard or by contacting us directly. If the information we hold about you is inaccurate or outdated, please change it once you have logged in, or inform us so that we can correct it.
If you no longer wish to receive email communications from us, you can unsubscribe at any time, either on the SubjectCoach Dashboard, using the link on the emails we send you, or by informing us and we will do it for you.
You may request that we delete the personal information we hold about you. We will action your request unless we are required to retain certain information by law.
How we protect your information
We will act to protect your personal information in accordance with the Australian Privacy Principles. We are committed to keeping the personal information you provide to us secure. We store your personal information on secure servers located in Australia and we take all reasonable precautions to protect it from misuse and loss and from unauthorised access, modification or disclosure.
We will take reasonable steps to destroy or permanently de-identify personal information if it is no longer needed for the purpose for which it was collected.
Access to the Site outside Australia
SubjectCoach does not represent or warrant that the content on the Site complies with the laws of any country outside of Australia. If you access the Site from outside Australia, you do so at your own risk. Regardless of where you access the Site from, the personal information we hold about you continues to be stored in Australia.
Links to other sites
The Site contains links to other websites which are not maintained or controlled by SubjectCoach or its related companies. Once you transfer from the Site to another website, we are not responsible for the conduct or practices of those third party websites, as they are not under our control. When you transfer to another website you should check the applicable privacy policy of that site.

SubjectCoach intends to develop and enhance its services continuously, by adding new features and services to the Site. As we add features we will update this Privacy Policy from time to time as required. We will also keep prior versions of this Privacy Policy archived. We will not change this Privacy Policy in a way that weakens our commitments to store your data in Australia and to never sell or share it, without telling you first.
